Program Coordinator

Job Description 

The Program Coordinator is responsible for the overall leadership, support, supervision, safety, and daily operations of the Before and After School Program, No School Adventure Days, Safe Sitter programming, and Sunset Camp. This position supports the Recreation Department’s mission through youth development, healthy living, and social responsibility by providing quality recreation and enrichment opportunities for participants and families. The Program Coordinator also assists the Recreation Supervisor with seasonal youth sports and additional recreation programming as needed.

Expected Hours

• School Year: 25–30 hours per week
• Summer (June–August): 35–40 hours per week expected depending on program needs

Responsibilities

• Direct and supervise daily operations of the Before and After School Program and Sunset Camp
• Ensure program activities meet the needs of participants while maintaining a safe, structured, and positive environment
• Supervise, support, and provide guidance to program staff
• Assist with hiring, training, scheduling, and evaluating staff under the direction of the Recreation Director/Recreation Supervisor
• Conduct and facilitate staff trainings and meetings as needed
• Create and maintain staff schedules and assist with lesson planning and activity development•Implement and facilitate engaging curriculum, enrichment activities, and recreation programming
• Maintain accurate attendance, incident, medication, and participant records at all times
• Administer medication to participants when applicable and according to policy
• Monitor daily program operations to ensure compliance with all Recreation Department policies, procedures, and safety standards
• Communicate professionally and effectively with parents, guardians, school staff, and community members regarding program questions, concerns, and participant needs
• Assist with purchasing and maintaining supplies and equipment for programs
• Compile program statistics and assist in evaluating program effectiveness and participation
• Coordinate facility usage for program activities and events•Assist with marketing, registrations, and distribution of program information
• Model positive relationship-building skills in all interactions
• Respond to parent and community concerns in a timely and professional manner
• Oversee and coordinate No School Adventure Day programming, which occurs approximately 6–8 times per year during scheduled non-school days
• Serve as an instructor for the Safe Sitter program, offered quarterly on Saturdays
• Assist the Recreation Supervisor with youth recreation programs including T-Ball, Coach Pitch, Youth Soccer, and Flag Football as needed
• Assist with additional recreation programs, special events, and department initiatives as assigned
• Responsible for adherence to all Recreation Department policies and procedures
• Conduct annual reviews of policies and procedures to maintain program quality

Program & Schedule Expectations

• Before and After School programming operates five days per week following the Elkhorn Area School District calendar
• Morning program hours are 7:00 AM – 9:00 AM
• Afternoon program hours are 3:15 PM – 5:30 PM
• Must be available to supervise a minimum of 50% of all combined AM and PM Before and After School program sessions
• Sunset Camp operates June through August
• No School Adventure Day programming occurs approximately 6–8 times annually on scheduled non-school days
• Safe Sitter classes are offered quarterly on Saturdays, and the Program Coordinator is expected to serve as an instructor
• Schedule may include early mornings, late afternoons, evenings, weekends, and outdoor programming depending on program needs and seasonal activities

Physical Requirements

• Ability to actively participate in indoor and outdoor recreation activities
• Ability to lift, carry, and move program supplies and equipment as needed
• Ability to stand, walk, bend, kneel, and sit for extended periods of time
• Ability to maintain visual supervision of participants at all times
• Ability to respond quickly and appropriately in emergency situations

Work Environment

• This position operates in school buildings, recreation facilities, parks, playgrounds, and outdoor environments in varying weather conditions.
• The Program Coordinator may be exposed to noise, active recreation settings, and frequent interaction with children, families, and staff throughout the workday.
• Work responsibilities may require travel between program sites and outdoor locations associated with Recreation Department programming.

Qualifications 

• Must be at least 18 years of age
• Minimum of one year of experience working with school-aged children preferred
• Minimum of one year of supervisory or leadership experience preferred
• Strong written and verbal communication skills required
• Ability to establish and maintain positive relationships with children, families, staff, schools, and community partners
• Ability to supervise staff, coordinate schedules, monitor program operations, and support recreation programming
• Ability to maintain confidentiality and exercise sound judgment in decision-making
• Exhibit the core values of caring, respect, honesty, and responsibility in all aspects of work
• Ability to work and facilitate programming both indoors and outdoors; supervise and ensure child safety, and participate in physical activities with children
• Required Certifications
• CPR and First Aid Certification required or ability to obtain certification within the first month of employment
• Valid driver’s license and reliable transportation to and from worksite required
