Event Timelines

In order to ensure that the Professional Development Committee has ample time to review CEU submissions prior to an event and that groups such as the Board of Directors, other committees, the WPRA Office, etc. have all of the necessary information to approve, promote, and facilitate in the planning of an event, please review the below timelines.

Annual Conference Speaker Schedule
  • Dec. 1st - May 1st: Open call for 2024 Speakers 
  • Dec. 1st - June 1st: Sections and Annual Conference Committee reach out to speakers and fill in Schedule-At-A-Glance (Sections and Committees should reach out to speakers for interest, available dates, fees, and to fill out the CEU approval form). Contracting will be done by the WPRA Office later. 
  • By June 1st: Draft Schedule-At-A-Glance due to Conference Committee Chair and Professional Development Committee Chair (CEUs do not need to be approved for the submitted sessions yet at this time)
  • By July 1st: Professional Development and Conference Committee approve Schedule-At-A-Glance
  • By August 1st: All CEU submissions are due. Professional Development approves all AC speaker submissions for CEUs
  • September 1st: Fall IMPACT Deadline (Schedule-At-A-Glance included)
  • By October 1st: WPRA Office finalizes speaker contracts
  • October 1st: Attendee Registration Opens
  • December 1st: Winter IMPACT Deadline (issue handed out at Annual Conference)
Larger Events (Leadership Academy, Fall Workshop, Aquatics Seminar/Technician Workshop, Playground Workshops, etc.)
  • Location & Date Selected
  • 4 Months Prior: Minimum # of attendees needed to hold event and when the cut-off is to cancel, if attendance is not high enough
  • 4 Months Prior to Event: Schedule and CEU forms submitted to Professional Development Committee for approval
  • 3 Months Prior to Event: Registration and Promotion for meeting/event begin
Region Meetings/Smaller Events
  • Location & Date Selected
  • 2 Months Prior: Minimum # of attendees needed to hold event and when the cut-off is to cancel, if attendance is not high enough
  • 2 Months Prior: Any sessions for CEU must be submitted to the Professional Development Committee for Approval and smaller events must submit their schedule to Professional Development Committee for approval, as well
  • 2 Months Prior: Registration and Promotion for meeting/event begin
