Admin Assistant/ Program Coordinator Fort Atkinson Parks and Recreation
Job Description The purpose of this position is to perform office management, secretarial, and administrative support tasks in addition to developing, implementing, and evaluating community programs and events. The work is performed under the supervision of the Parks and Recreation Director, with assistance from the Recreation Supervisor. This position includes occasional evening and weekend work beyond the normal workday hours.
Essential Duties and Responsibilities The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Processes payroll for department personnel. Verifies hours, wages, and wage rate changes. Monitors sick leave, comp, and vacation time.
- Performs public reception tasks in a positive and professional manner. Receives and screens calls and visitors. Takes and relays messages, directs visitors, and routes callers. Provides information to callers and visitors or refers to appropriate person or agency.
- Registers participants in recreation programs. Receives and records registration fee payments. Writes receipts. Completes deposits. Updates budget sheets.
- Develops, implements, and evaluates youth and adult enrichment and sports programs in addition to special events. Includes hiring, training, and managing staff, developing and monitoring program budgets, and creating and updating program curriculum.
- Oversees adult sports leagues by hiring referees/officials, creating schedules, updating standings, and monitoring the league.
- Creates and maintains program marketing material and public information including flyers, program guides, social media accounts, website pages, and bulletin boards.
- Types and distributes schedules, correspondence, reports, newsletters, and other materials.
- Assists sports organizations and associations with information and scheduling.
- Works with dance program staff to assemble communications, orders and maintains inventory of dance attire, orders dance costumes, assists with attire customer purchases, and prepares recital programs.
- Orders and picks up department forms. Collates and distributes brochures.
- Sends billing statements.
- Collects out-going mail. Screens and sorts in-coming mail.
- Designs, orders and laminates season pool passes.
- Reserves parks and recreation facilities & equipment. Maintains facility usage calendars.
- Orders office supplies and staff apparel.
- Helps maintain order in gym.
- Performs routine administrative duties of the Director/Supervisor in his/her absence.
- Other duties as assigned.
QualificationsMinimum Training and Experience Required to Perform Essential Job Functions
- Bachelor’s degree in Recreation or related field preferred.
- Experience in providing community public recreation and special events.
- Strong customer service skills.
- Knowledge or ability to learn Sportsman Registration Software.
- Vocational/technical training in MS Office software (Publisher, Word, Excel, and Outlook), Canva, and bookkeeping.
- Office management experience; or any combination of education and experience that provides equivalent knowledge, skills, and abilities.

- Ability to assemble, copy, record, and transcribe data and information.
- Ability to follow specific instructions and respond to simple requests from others.
- Ability to explain, demonstrate, and clarify to others within well-established policies, procedures, and standards.
- Ability to communicate orally and in writing with customers, department staff and volunteers, city officials, school personnel, vendor representatives, civic clubs, sports organizations, consultants, and the general public.
- Ability to utilize a variety of advisory data and information such as billing statements, payroll records, time sheets, job applications, attendance records, schedules, department forms, flyers/brochures, computer software operating manuals, procedures, guidelines, and non-routine correspondence.
- Ability to add and subtract, multiply and divide, and calculate percentages, fractions, and decimals.
Judgment and Situational Reasoning Ability
- Ability to use functional reasoning in performing influence functions such as supervising, managing, leading, teaching, directing, and controlling.
- Ability to assist in exercising the judgment, decisiveness, and creativity required in situations involving a variety of generally pre-defined duties that may be subject to frequent change.
Physical Requirements
- Ability to operate a variety of office equipment including computer terminal, typewriter, telephone, fax machine, calculator/adding machine, computer printer, cash counting machine, cash packaging machine, and photocopier.
- Ability to coordinate eyes, hands, feet, and limbs in performing movements requiring moderate skill, such as data entry.
- Ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing, and pulling of objects.
- Ability to recognize and identify individual characteristics of shapes and sounds associated with job-related objects, materials, and tasks.
Environmental Adaptability
- Ability to work under generally safe and comfortable conditions where exposure to environmental factors such as repetitive computer keyboard use may cause discomfort and poses a limited risk of injury.
Salary/Salary Range: The starting wage for this position is $22.0405/hour. Wage increase for 2026 will be based on the approved wage study completed in 2025.
